Outlook as a SharePoint client, online and offline

SharePoint 2007 has a great interface. Those of us that used SharePoint 2003 can really appreciate the improvements that have been made. However in some situations SharePoint needs a little boost. Users need a little more than a web interface can offer. This blog post will explain some of the ways you can use Outlook 2007 as a SharePoint client. We'll cover how it can used online and offline to work with SharePoint content.

Like I said, the regular web interface is great in SharePoint. If it's so great then why would you want to use Outlook as a SharePoint client? There are two main reasons. The first reason is a matter of preference. Some people work out of Outlook 90% of the time and are very comfortable there. If they can use that same program to access SharePoint data, it makes them more likely to use SharePoint. The second reason is practical. Outlook can be used to take SharePoint content offline. This gives users the flexibility to work with SharePoint contact at home or while traveling. Another benefit of this is users that have slow connections to SharePoint. It might be easier for VPN users to work with SharePoint offline than live. Or maybe you have a remote office that doesn't have a good connection to the SharePoint servers. It's always good to have options. Let's find out what those options are.

SharePoint 2003 offered some integration with Outlook 2003, but it really wasn't useful. You couldn't sync in both directions. Things have changed. With SharePoint 2007 and Outlook 2007 you can sync data both ways. Changes made in SharePoint show up in Outlook, and now changes made in Outlook are synced back to SharePoint. And when I say SharePoint I mean that this works with both WSS v3 and MOSS 2007.

When you choose to sync a list or library with Outlook a new data file is created in Outlook. This file is a standard PST file and it is used to store all the content cached from SharePoint. This is important to understand because it means that if you use Exchange none of your SharePoint data is stored in your Exchange mailbox, so it won't fill your mailbox up. This also means that your SharePoint data won't be available outside of Outlook in places like Outlook Web Access or mobile devices that you sync with Exchange. I don't have any ideas of good ways to get your SharePoint data to either of those places. Once you've added a SharePoint list to Outlook you can view the properties of the SharePoint data file by clicking Tools > Account Settings in Outlook.

Then click Data Files. Notice there's also a tab that lists all the SharePoint lists themselves.

So how do we actually get SharePoint data into Outlook? The process is incredibly easy. First, the list or library must be one that can be synced to Outlook. That means it must be one of the following types: document library, picture library, form library, contacts, calendar, discussion lists, tasks or project tasks. Open any list or library based on one of those templates. Click the Actions button and choose Connect to Outlook.

 

Outlook will pop up a dialog box asking you if you want to connect this to Outlook and allow you to tweak some settings, like the name as it's displayed in Outlook. Once you hit Okay the connection will be made and Outlook will open up the list or library. If you switch back to your folder list you'll see the new data store that's created and you'll see the list or library you've added.

If at any time you want to remove the list you can right click on it and choose Delete.

Since I used a Calendar in the example, let's cover what you can do in Outlook with a SharePoint Calendar. First, like I said before you can add appointments either in Outlook or SharePoint and it will get synced. You can also edit appointments in one and the change will be visible in the other. While you can't view a SharePoint Calendar via OWA or a Windows Mobile device, you can manually drag an appointment from a SharePoint Calendar to your Exchange Calendar. Using Outlook's Overlay Mode you can combine the results of your Outlook Calendar and a SharePoint Calendar.

 

Whether you combine the calendars or not you'll also get reminds in Outlook for Appointments in SharePoint.

Contacts lists can also be synced to Outlook. You set the sync up the same way. SharePoint Contacts lists make a great way to share contacts with a group. After the Contact list has been connected to Outlook it can be added as an Outlook Address Book so that the addresses can be used when sending email. To do this right click on the SharePoint Contacts list and open up the Properties. Open the Outlook Address Book tab and verify it is checked.

If you want to give the list another name you can do it here.

You can also sync Task Lists with Outlook. You connect them up the same way you do Contacts and Calendars. Like Contacts and Calendars you can edit SharePoint tasks in Outlook and the changes will sync in both directions. The tasks assigned to you will also show up in your To-Do Bar in Outlook along with your Outlook Tasks. You can also view all of the Tasks if you'd like.

Probably the most handy way to use Outlook as an offline SharePoint client is with Document and Picture libraries. Connecting a document library to Outlook allows you to work with your documents when you do not have access to your SharePoint server. While you can read and edit files from your document libraries, you can't use your Outlook folders to add files. You have to enable Incoming E-mail on the document library in order to add files. Files that haven't been synced back up to SharePoint will show up in your SharePoint Drafts Search Folder.

If you do decide to connect a document library to Outlook you'll probably want to enable version control. That will protect the work that you and others do on a document when you're offline. While you're online and Outlook can contact SharePoint any changes you make to documents will be synchronized immediately in the background. While you're offline of course the documents won't be synchronized until you connect again. You can use the Send/Receive button to synchronize changes once you get back online.

I hope this blog has shown you some options for accessing SharePoint offline, or on slow links. Outlook can bridge the online and offline gap.

There are other methods of accessing SharePoint offline. If there is interest in it I can write about it later.

Todd - Nice overview. The problem with a lot of the discussion of integration with Outlook leaves out the "why". I must confess, even in my workshops I sometimes overlook explaining why people would use specific functionalities, thinking it will be pretty self evident. Your post was a very refreshing reminder.

Contact list sync based on a view

Hello, do you if it's possible to synchronize SP contacts to Outlook but only for a part of a SP Contact list ? Based on a View for example ? I tested it but I still receive the complete list ;-((

Sharepoint Contacts

Is there really no way to get Sharepoint contacts in OWA? We need a group contact list where everyone has access to - of course also if the user works outside the office with OWA. What would be the best way to handle this?

There really is no way to get SharePoint contacts into OWA, as far as I know.  The best way to handle it would be to make your SharePoint server accessible to the workers outside the office.

Automated Implementation?

I am looking at replacing our public folders with SharePoint and your excellent write-up certainly persuades me that this is the way forward.

However, a cursory glance through a google search has shed no light on the issue of deployment. Can the actions you outlined above be done through group policies, sms deployments or any other automated (and mandatory) method for a any given AD user or group?

I was looking for something else and stumbled across this, http://www.msexchange.org/tutorials/Drilldown-OWA-Direct-File-Access-Exchange-Server-2007-Part2.html.  It may be a way to get SharePoint content into OWA for your users.  Because of my travel schedule I haven't moved over to Exchange 2007 yet, so I can't test it.  I thought I'd put it out there in case someone else can though.

Syncing Tasks Assigned to Group

Do you know if there is a way to have tasks that are assigned to a group that you are a part of, to show in your My Tasks list?  I dpn't seem to be able to get this to work when just using the My Tasks list view within SP, so not sure if it would work in Outlook?

Categories between Sharepoint and Outlook

I've set up a contact list in Sharepoint, and created new column views to categorize each item. When I connect the contact list to Outlook, all of the information is transferred except the categories. Is there any way to get outlook to recognize the categories I've created in Sharepoint for this list?

Great post about Outlook and SharePoint integration

Hi Todd,

I'm loving your post about how business users can utilize the integration between Outlook and SharePoint. I'm also a big believer in showing users the ropes when it comes to this technology.

There's not a lot of material available to provide businesses with ideas on how to use SharePoint to solve everyday and common needs, especially in the non-technical sense. Sometimes people just need some general ideas to spark their thinking. I do SharePoint Services end user training and I'd like to think of myself as an end-user advocate.

A few years ago I started a blog/podcast to educate end users in Outlook and SharePoint. I think there's a need to have more and more information like this available that can assist and educate those that can use a little help in better utilizing these products/services.

Recently I did a podcast called "Top 20 Way To Use SharePoint Effectively", which outlines ways businesses can use SharePoint for business needs just by using the out-of-the-box features in SharePoint. Nothing complicated, but it shows how SharePoint can be applied to common business needs.

Automated Implementation

I distributed a link to my users to connect their outlook to a sharepoint caledar.
It may work if you use it in a script.
I used a tool called MFCMapi to find the correct link.

Sharepoint Contacts in OWA

We found a third party tool that allows you to address sharepoint contacts in OWA (it enhances OWA in a few other ways too). You would load it on your CAS servers. The product is by a company called Messageware. You should be able to find it via a web search.

I have another question. Can you create DLs/Groups on Sharepoint Contact Pages? I have a customer that would like to use Sharepoint for sharing groups within departments but not the GAL. If this doesn't work we might need to consider Public Folders which then shoots the wheels off Sharepoint.

Which of Messageware's products are you using?  I didn't see the SharePoint integration in the ones I looked at.  I know that the Exchange 2007 OWA also has some support for publishing SharePoint content, but I haven't had a chance to look into it yet.

I don't see a way to create a contact group in SharePoint.  You might be able to create a new Content Type to do it.  What exactly are you trying to accomplish?  Do you want to send an email, have SharePoint pick it up and send it out to other people?

Offline Sharepoint for non outlook users

Hi,

Yours' is an excellent posting on outlook integration with Sharepoint for working offline on the Sharepont items.
I have a requirement of providing offline capability of Sharepoint to users who are not using outlook, and whihc could be run on mobiles, PDAs as well.

Can you suggest any tool or approach for this.

Offline Document Library

Document Library synchronization with Outlook 2007 is not automatic. Does not happen in the background.
"While you're online and Outlook can contact SharePoint any changes you make to documents will be synchronized immediately in the background. While you're offline of course the documents won't be synchronized until you connect again. You can use the Send/Receive button to synchronize changes once you get back online."
This is not like that.
If you edit the document offline all you can see is the icon change and an information box saying that you needed to open the document to check-in the document. When you open the document Outlook understands that you are online (fingers crossed) and prompts you about updating the server. Then you can update the server. I have two cases on this. First one, Outlook never understands that it is online and SharePoint is there and it never prompts for server update. There is no check-in icon on Word either. You have to pray for that pop-op to appear. Second one, server update prompt appears but nothing happens when "update server" is pressed. This prompt pops up when you try to close the file too. But in this case it does not close the document.

Any ideas?

Syncing Individual appointments from Sahrepointy to Outlook and vice versa

Hi,

I currently work in a large organisation where we are trying to implement sharepoint as part of an account collaboration tool.

An element that we would love to have would be to individually sync relevant appointments to outlook, to avoid having uneccessary appointments in our own outlook calendar.

Do you have any idea if this is possible??

OWA Contacts in Sharepoint

Ah this is great stuff, however how do I do the opposite? My vision is that when the user logs in, they are presented with a list of their tasks and contents, and possibly mail.

I've been using "My Contacts" web part with little - very little - success. I've been unable to tell the web part where to go for this information, although I have pointed it at my mail server.

Any ideas on this?

I loved the outlook intengration with shaepoint. Although, I feel something can be improved to enhance the efficiencies, or I am unaware of any such solution;


1. It should allow user specify custom field while adding appointment into Sharepoint calendar using Outlook 2007.
For eg. we have a resource reservation calendar. this has a custom field name Resource Name, based on this field we fire a workflow. However, outlook does not allow inputing this field.

2. We have a KB articles library. If integrated with outlook allows us view Word/PDF etc.. files however, if this is an KB article created on sharepoint site, it does not allow us to preview/edit the same.

Is there any work-around/solution for above?

It only works with 2007 both ends.

Outlook 2003 will do one way syncs with SharePoint 2003, for sure and I think it will with SharePoint 2007 as well.  I don't have Outlook 2003 installed anywhere to double check though.

I'm using SP 2007 and Outlook 2003 and it syncs from SP to Outlook. I just wanted to know if I overlooked something, because didn't found an option to sync it the other way around. So it's just one way...

Displaying personal outlook content on a personalized MOSS site.

I am trying to configure a subsite of my company's web portal to act as a kind of dashboard. I would like to display the latest emails from the employees's inbox, their taks from outlook and later intergrate Axapta information into the SharePoint enviroment.

When I try to connect my inbox to SharePoint I always have to log in to the OWA webpart. Is there anyway around this, preferebly to use the Windows Authentication to automatically log the user in.

Are you using forms based authentication (FBA)?  If so, I think that's going to be a problem.  If you need FBA then publish OWA on a different port, use Windows Auth on that port,  and point the MOSS web part there.

email drag and drop

I still question why Microsoft did not take an Outlook drag and drop approach for moving email, or email attachments right into sharepoitn document libraries.... ie. showing sharepoint 2007 document libraries as folders in an outlook folder list.

Let's face it over half of the information that is valuable is not found in a document - it is found in an email.  And of the other 1/2, many of those documents arrive in emails from entities external to the organization and the email it is attached to often contains metadeta that is valuable and should be captured with the documents anyway.

There is a very powreful 3rd party add in by Colligo for Outlook that does provide drag and drop in outlook to land emails or attachments into a sharepoitn 2007 library (via the outlook folder list pane).  I wish microsoft would just acquire them and offer it standard....honestly....you would think the expert in integrating Outlook and Sharepoit would be Microsoft....not a 3rd pary vendor. 

On a related note, Frankly, the Colligo offline abilities also seem far more powerful than what Microsoft provides.

Outlook Sycning

Loving this post and all the comments thank you.

I have a strange question regarding the connecting to outlook posts.

Our organisation sync our document library to every user within the company. However, we only want these documents to be trully read-only.We do not wish the users to be able to make any changes to the files (Not even a local offline copy) They are accessing these documents purely as a "template" for documents.

Is there a way to disable editing the documents and force the user to "save as" a document when they open it from outlook instead of creating a local copy on their pc's.

When they go back after using a file.. whatever changes they made on the document is there in the sharepoint document. We do not want this. We want them to see the original file only?

Any suggestions?

The Knowledge Network functionality that was in the MOSS 2007 betas addressed the need of searching Outlook email and getting some of the relevent information into SharePoint.  I'm not sure what its future is.

I'm a big fan of Colligo's offline SharePoint options.  I recommend everything take a look at their free trial.

Not sure how to do what you're looking for, besides just regular old SharePoint permissions.  You could create a new Permission Level that has Add Items permission, but not Edit Items.  That should allow them to create new documents, but not change the ones that are there.

I don't know of any way to prevent creating offline local copies.

Outlook email drag drop

i just used a copy of a system called OnePlaceMail to drag and drop email into sharepoint.  It seems very easy to use and captures all the send to, cc, subject etc.. and other library details when uploading... i don't think it does the sychronisation but more allowing users to drag and drop or transfer email and attachments from outlook to sharePoint.

I'm not sure of the pricing of it but I just used the evaluation copy which seems to do everything we need.

Outlook 2007 Appointment categories

Do you know of any way to "transfer" the color coded categories to Sharepoint?  If you add a calendar event in Outlook, you'll see it in SP, but not the category.  I don't see a column that supports this.  If I add such a column to SP, then it doesn't display in Outlook.  Any ideas?

One thing I am struggling with at the moment is <a href="http://grailboy.blogspot.com/2008/07/more-sharepoint-struggles.html">how to expose custom columns from Sharepoint inside Outlook</a>. There doesn't seem to be a way to make the custom columns show up in Outlook.

Outlook 2003 with SPS 2007 calendar does not sync until you manually select folder

Hi, great post and info above.

Wondering though about a weird problem, my sync from OL 2003 to SP 2007 contacts list is syncing, but only when I select the folder manually does it start a sync.

I adjusted the registry setting (STSSyncInterval) to force it to update every minute - and Outlook status bar claims it has updated in the previous minute, i.e. "Updated 11:07am.  Next update 11:08am".  But I may have made a change to Sharepoint at 10:30am and it doesn't appear in Outlook until I go and open the Sharepoint folder, at which point it updates.  So the status bar claims it updated a minute ago but it has not synced at all until I selected it.

I cannot find any info on this anywhere else... anyone come across this issue?

Colligo Contributor for Outlook (mentioned earlier a few times) exposes all the SharePoint custom and standard metadata in the Outlook interface. The features of the product are outlined here > http://www.colligo.com/products/sharepoint/contributor_add-in.asp. FYI, Version 3.1 introduced the ability to set custom default metadata at the folder level so when you drag and drop emails into a doc library through Outlook, they automatically get standard and custom metadata set. (see the support site at support.colligo.com for more info)

outlook and images from an alert

When we receive an alert from an annoucementslist all works fine in outlook, except when an image has been attached. Then the user needs to log in to sharepoint, before he sees the image. If he doesnt he only sees a red cross.
Why doesn't outlook log in to it automatically ? It are the same user-credentials and password as his windows login so ?

I imagine this is done as a security measure.  If Outlook automatically downloaded embedded items in email it would be possible to link to an external file that was a virus or something.  By making the user click it or log in manually it gives the user a chance to verify the link is a trusted source.

Read only permission?

Hi Todd!
After I read your blog I downloaded sharepoint 2007 trial to test it. I am very glad because I was searching for such an solution for a long time, esspecially the integartion in Outlook ist fantastic. However I have a small problem. I used the assitance of sharpoint to integrate a document library into Outlook. This worked fine, but I have only read permissions. This is my problem because I want to use the integration to copy some E-Mails or attachment files to the document library. How can I change the permission. On sharepoint site I can upload files an create folders with the same user. Why can´t I do this in Outlook?

You can't get it to work because unfortunately SharePoint does not support adding files to document libraries with Outlook (or Outlook doesn't support it, not sure which side is the problem).  You have two options.  You can email enable the library, and add the files from Outlook by emailing them, or you can use a third party client like the one from Colligo.  It provides a very good offline SharePoint experience.

Sharepoint Sync with PST-Constantly Synching

Thanks for your blog.
My problem stems from using Sharepoint with Outlook synchronizing our main Contact List. Our list has 23,000 names in it. Each time a user opens Outlook 2007, Outlook updates from Sharepoint. I'm running on a Citrix machine, and the sync takes an ungodly amount of time before it stops(sometimes it doesn't stop) The PST files grow to a extraordinary size (1.5 gigs in some cases) each time the user does a sort or search. Is there a way to set it so that Outlook isn't constantly syncing with the PST, and that it only syncs changes to Sharepoint records? It seems like it syncs constantly, and I haven't been able to figure out how to reduce the load it takes on my server.

Yet another solution for moving emails from Outlook to SharePoint is a tool called SharedLook by Paradisoft (http://www.paradisoft.com/outlook-to-sharepoint.asp)

A little less features than Colligo, but competitively priced.

We use a great tool called myDocs which is an add-in for Outlook, that lets us view SharePoint Document Libraries by clicking standard Outlook folders, and drag emails into these folders to upload into SharePoint.There is more information on this at http://www.nsynergy.com/Products/myDocs/Pages/About_myDocs.aspx

Question about Authentication between Outlook and MOSS

Hi there, thanks for an informative post.  I have a question about the Authentication between the 2 systems.

We have a Hosted Extranet-facing WSS 3 solution and I'm using Outlook 2K7.  I can easily enough go to Sharepoint in IE and connect the docs/folders I'm interested in to Outlook.

However when I go to the Sharepoint List in Outlook I see that the docs concerned are marked 'Available for Download' rather than actually being downloaded.

Q1 - How can I set things up so the docs are downloaded by default?

Next, when I open Outlook it immediately prompts me for my Exchange credentials (Hosted Exchange so not using my domain login) but it does NOT immediately prompt for the Sharepoint credentials.  Sometimes it won't prompt for Sharepoint for an hour or more.

Until it prompts me I have no connection to Sharepoint from Outlook and any attempt to access an 'Available' (as opposed to downloaded) doc results in an Invalid Permissions error.

Q2 - How can I force Outlook to prompt me for the Sharepoint login immediately on startup?

Q3 - Why, when I try to access a doc from Outlook does it not then prompt me for the connection credentials, rather than just erroring?

adding outlook 2003 tasks in a teamsite

Hi,
I have read a lot of sharepoint blogs  but didn't find anything about extracting outlook tasks to a sharepoint teamsite tasklist. I am new to sharepoint and am seeking help about how should I go about it. In my job, I get a lot of task requests filled out from a task request webpage in my outlook tasks. I have outlook 2003. I want to extract those tasks to sharepoint teamsite. I can't add my tasks as a webpart to a teamsite. I just want to extract tasks with a certain subject line to the sharepoint team site. I have created a customized web part in visual studio 2005 with the required fields. I now want to extract the outlook tasks to that customized webpart which has fields like task description, sender, due date etc. Any help on this would be highly appreciated

These are all good questions, Tim. None of which, unfortunately, do I have the answer to. I've been fortunate in that all of the SharePoint Farms I've worked on SharePoint, Exchange and the clients have all been in the same domain. I'll look into this and see if I can figure anything out.

Outlook 2007 does not allow custom fields developed in a sharepoint list

After searching for hours and hours.  I finally found out that sharepoint task list (tasklists) custom fields are not supported in outlook 2007.

But outlook 2007 tasks has some relative field support in Sharepoint /Moss 2007 tasks.  So if you want to view fields in both outlook 2007 and sharepoint 2007.  They need to be part of the default list of "allowed" fields/Sharepoint columns (RESERVED COLUMNS).  You actually have to use "Add from existing site columns" when you go into the settings of a tasklist.  Then you also have to ensure that column will carry over to Exchange/Outlook 2007 tasks.   One strange thing is that I could not find the column/field title (BODY or MESSAGE) in the list of availabel fields.

If anyone knows of supported fields which cross-over from sharepoint 2007 tasks and outlook 2007 tasks, Please email hit my website and email me.

Getting Outlook Emails to a Sharepoint list as a viewable attachment

This works great - these tricks save me hours of work. Thanks.  It's also lead me to a problem I can't solve.  All my synching works fine except:
I have a document library in Sharepoint.  I use a rule in Outlook to forward certain emails to the list as attachments.  In Sharepoint, they appear as documents in the list with the email subject line as the document title.  But When I click on them the browser looks like it's opening an empty file and the url ends with .eml, the old Outlook Express extension.  How can I get my emailed attachments to be something I can really open and read?

I've set up a contact list in Sharepoint, and created new column views to categorize each item. When I connect the contact list to Outlook, all of the information is transferred except the categories. Is there any way to get outlook to recognize the categories I've created in Sharepoint for this list?

Contacts

Hello,

Probably a stupid question:
Is there a way of changing the view of contacts as they come from sharepoint into Outlook?

Basically we only want certain fields, i've deleted them from Sharepoint but when i Connect to Outlook, they all come up and again and we have to use the Field Chooser.
We want to be able to set the same view up for every user when they connect to Outlook to view the contact list as a phone list.

Outlook Rule

I set up a rule for certain emails to be sent to a forms library. I enabled the forms library to accept emails and set the permissions to "anyone". If I email the library directly from my email address it works, so that is ok. Also, I set up the rule to do more than one action so that I could verify that I set up the rule correctly- the first part of the rule runs consitantly, is there any reason that you can think of that the email will not forward to a forms library via a rule?

SharePoint has some logic built to prevent mail loops. For instance, it prevents you from sending a SharePoint alert to a SharePoint e-mail enabled folder. I forget exactly how that logic works. You might be triggering that. Have you looked through your SharePoint logs to see if the mail is making it to SharePoint? If not, then I'd check your mail server logs to see if it's getting that far. If not, then I'd check the logs on your client and see if Outlook is failing.

SharePoint / Outlook Integration Problems

Todd,

I select the Connect to Outlook option on a calendar in SharePoint, get the pop-up in Outlook 2007 asking if I want to add the connection, I select yes (or ok cannot remember which) and I see a "Personal Folder" pop up in my mail listing then disappear.  I have not SharePoint Lists folder and no SharePoint based .pst file and nothing shows up in the data view under SharePoint lists.

Have you heard of this sort of problem and what is the solution if so?  If not any suggestions on things I can try?

Automating Contact Sync between Outlook & WSS3

Todd et al.,

We are using Office 2007 and WSS3.  We use WSS3 as our intranet and have a contact list setup that matches the GAL in Outlook.  I've been trying to figure out a way to keep them in sync w/o having to do it manually. 

When a new user is added or existing user info is changed, I have to open the Sharepoint Contact List in Outlook, then open the GAL and set the WSS Contact list as the default for my"Personal Contacts" then I highlight all of the entries in the GAL and choose Add to Contacts.  I am prompted to update existing contacts, which I choose Update All.  In Outlook 2003 and WSS2, there was an easy option to "Import from Outlook", but that option is gone now. 

Any ideas?

SharePoint Lists pst file

Hi There,

There is some ongoing discussion in one of the discussion groups about the SharePoint pst file, "Outlook 2007 creating multiple personal folders." (I can post the link if you would like)

Basically what the problem is, is that in our environment we have configured Outlook so that all .pst files are stored on a file server. Therefore, when creating the SP List, it automatically puts that pst on the file server as well. When a user goes off site, the server is not available and vicious circle of error messages occurs and the only way to get out of it is to kill Outlook in the Task Manager.

I have tried every way I can think of to try to get the pst locally, but have not been successful. I am trying to find where (on the client without going into the registry) where the default pst file location is so I can change it to the local drive, create my SP relationship, and the change the default pst save location back to the file server.

I can't think of any other way around this. I am thinking I will end up have to call MS on this issue, but wanted to try other resources first.

Sync problem

Hi, when i try to delete a document in outlook that points to a sharepoint site, its says "delete read only doc" when i do a send/recieve the document pops back. how can i delete this doc in outlook so that it gets deleted on the site.

Launched SharePoint Issues tracker with Version in SharePoint

The issue is occasionally a user will work from a remote office or delete some of the task items from their outlook tasks folder. In doing so since they do not have detetion rights on the site, the sharepoint site enters either a duplicate version entry to the issue with date and time stamping or a black entry on all the issues they had deleted. Any suggestions on how to stop their ability to link the task lists to the sharepoint site. I now have 200 users and every so often a user how deleted their outlook access show updates for all of the issues case and all the stakeholders are notified of the update to see a black or copied update...

I believe all that is stored in Outlook, not SharePoint. If you look in the Outlook accounts you can see the SharePoint settings and the PST file it uses to store things. Is that what you're looking for?

Just want to know if it is possible to integrated OL 2003 and MOSS 2007 discussion lists? Contact lists and calendars we can do. But is it possible with discussion lists as well?

No automation from sharepoint to outlook

Hey Todd,
Great article. I tried the above steps and got my sharepoint calender in outlook. Sadly, send/receive feature does not work automatically ( I have to manually use send/receive to receive updates). Besides Outlook does not seem to read the sharepoint calender, as in I do not get alerts for scheduled meetings. Is there any possible setting for this I overlooked?

Besides, from above replies of yours, it seems sharepoint does not read updates from outlook, so what exactly is the advantage of this one sided automation?

I can't remember if the syncing happens automatically or not. I'm not currently using it.

As to why people would use it. It's the reasons I mention above. It puts all your information in one spot, and it gives you offline access to information that's in SharePoint.

Deleting a file from SharePoint

Hi,

I have my document library synched to Outlook and when I remove a document from my sharepoint library it still shows up in my Outlook folder. I've tried syncing it back to sharepoint, but that doesn't do anything. The only solution that I've found is to remove the list from Outlook and then re-adding it to Outlook through SharePoint.

Any ideas on why this happens or how to remove the one from Outlook?

Displaying custom column on the outlook entry

Hi Todd,

This is Uday from Siemens PLM. Nice to have a word with you after so long.

I have been trying to link a events list to outlook. The outlook view shows me the "Title" field by default.

The calendar view is customized to show a custom / calculated field which brings lot more information than just Title.

Is there a way to display the custom/calculated field on Outlook view?

Prevent Downloading Documents

Is there a way to configure it so that documents aren't downloaded to the client's PST file automatically? If a user connects a document library that contains 20GB of files, that's 20GB being stored locally.

I'd rather all documents show up in the "Available for Download" section and the client can manually download the documents they actually want to look at. Is this possible?

Sharing a calendar without a pst file - alternate method?

I would like to sync an outlook calendar with a Sharepoint calendar.
However, following my companies instalation of a mail archiving system they have enforced a group policy prohibiting users from creating local PST files.

This obviously stops the standard method of linking SP to Outlook.

Is there another (less conventional) way that this can be done?
